Shallow work expands to fill available time because it's always urgent. Every notification, every reply-all thread, every "quick sync" request competes for your attention. Frameworks for Protecting Deep Work Time

1. Time Blocking

Schedule your deep work the same way you'd schedule a client meeting — as a non-negotiable block on your calendar. Many high performers block their first 2–3 hours of the workday before email or meetings. Guard this time fiercely.

2. The 90-Minute Rule

Research in ultradian rhythms suggests that the brain operates in roughly 90-minute cycles of high focus followed by a natural need to rest. Structure your deep work sessions around this: 90 minutes of focused work, then a genuine break (a walk, a snack, time away from screens).

3. Batching Shallow Work

Rather than checking email reactively throughout the day, designate specific windows — for example, 9:00–9:30 AM and 4:00–4:30 PM. This creates predictability for colleagues while protecting the rest of your day from constant context-switching.

Create an Environment That Supports Focus

Your physical and digital environment shapes your ability to focus. Practical steps include:

  • Turning off non-essential notifications during deep work blocks
  • Using website blockers (like Freedom or Cold Turkey) during focus sessions
  • Working in a consistent location your brain associates with focused effort
  • Communicating your focus blocks to your team so interruptions are minimised

Measure Depth, Not Just Hours

At the end of each day, ask yourself: How many hours did I spend in genuine deep work? Even two hours of truly focused, high-quality work can outperform six hours of fragmented, reactive busyness. Tracking this number — even informally — creates accountability and helps you notice when shallow work is crowding out what matters most.
